Xerox Canada Administrative Services needed a solution to convert contracts and other client related documents into a digital format that could be stored and conveniently accessed at any time. Access to physical client files could take up to 5 business days, hindered by a lengthy document retrieval process, which added unnecessary operational costs.
The Xerox® Digital Hub worked with the Administrative Services group to create an action plan to convert their contract documents into a digital format that could be stored and conveniently accessed by employees. Hard copy documents were transformed into digital documents with added functionality, known as “intelligent documents”, with features such as automatic indexing, security, and accessibility. Digitization of hard copy documents was performed at the Xerox Digital Hub in Toronto, Ontario. This world-class imaging and records management shared facility provides enterprise data capture, records management, and transactions processing.
- Over 500,000 hard copy documents per month are processed for the Admin group at the Xerox Digital Hub.
- Reduced the labour-intensive process of accessing physical files from up to 5 business days to virtually instantly by enabling efficient electronic archival, storage, and retrieval.
