|  |  | Winchester District Memorial Hospital (WDMH) was founded in 1947 with a mission to provide quality healthcare services and other clinical services to the local community. WDMH is networked with several other hospitals in order to provide greater accessibility to medical expertise and clinical services typically not available in a small rural community. Over and above its core mission, the Hospital is dedicated to meeting evolving healthcare needs, to leveraging key elements such as technology with strategic partners to position itself as a leader, and to increasing service levels for their patients and staff. One of the major challenges facing WDMH was its documentation process where it faced issues such as equipment proliferation, obsolescence, cost management, and limited electronic document access for the staff. In addition, they needed to streamline overall document management and increase staff productivity.
The Solution
To address these challenges, WDMH partnered with Xerox to streamline its document management . The Xerox team worked with the XOPA (Xerox Office Productivity Advisor) tool to locate all Winchester Hospital's office assets, measure the true cost for printing, and identify opportunities to streamline key business processes in order to improve productivity. The flexibility of Xerox SMARTsend was identified as a key solution to transfer paper based document into electronic format by using the scanning functionality with Xerox multifunctional portals. This enabled staff to digitize documents and send them to e-mail effectively. WDMH also merged this technology with the SSHA (Smart System for Health Agency) ONE Mail System so that the paper based information could be securely sent in a PDF format from the physician's office.
The Results
The Xerox solution enabled WDMH to move away from faxing confidential information, thus reducing costs. The solution leveraged the new SSHA database and secured the exchange of critical patient information coming from its internal department. By streamlining this key business process and looking at their entire document production fleet, WDMH significantly improved the security for patient file transfer within the medical community. In addition, providing standardization across their organization reduced acquisition and administrative costs. Staff efficiency improved by using the Xerox multifunction products as electronic portals to support daily operations. The introduction of colour to their key user applications greatly improved document output quality
